This Cookie Policy explains how Simplifai uses cookies and similar technologies on our website: what they collect, why we use them, who receives the data and what choices you have.

What this policy covers
This policy applies to simplifai.ai, including all subdomains, landing pages and the ROI Calculator.
It does not cover the Simplifai platform and AI agents used by customers under a separate agreement, which are governed by that agreement and the accompanying Data Processing Agreement. Nor does it cover third-party services we link to, such as Simplifai Academy, our platform status page, review platforms and our social media profiles — each has its own cookie and privacy policy.
What cookies and similar technologies are
A cookie is a small text file that a website asks your browser to store on your device, so the site can recognise the device, remember your choices and record how the site is used.
First-party cookies are set by simplifai.ai. Third-party cookies are set by another organisation whose code runs on our pages. Session cookies disappear when you close the browser; persistent cookies remain until they expire or you delete them.
We also use technologies that fall under the same rules:
- tracking pixels and web beacons, which register a page load or an email open;
- browser storage (localStorage, sessionStorage), which holds identifiers and settings in your browser;
- session recording scripts, described below;
- tags deployed through our tag management system.
Everywhere in this policy, "cookies" means all of the above. Cookies rarely contain your name, but the identifiers in them can be linked to you and are therefore personal data under the GDPR.
Our legal basis
Two sets of rules apply.
Storing or reading information on your device. Under Article 5(3) of the ePrivacy Directive, implemented in Norway by Section 3-15 of the Electronic Communications Act (ekomloven, Act of 13 December 2024 No. 76), we may only do this where it is strictly necessary to deliver a service you have requested, or where you have given prior consent.
Consent must meet the GDPR standard: freely given, specific, informed and unambiguous, expressed through a clear affirmative action. Pre-ticked boxes, browser settings, scrolling and continued browsing do not count as consent.
Processing the personal data collected. Our legal bases under Article 6 GDPR:
No non-essential cookie is set before you consent. Refusing has no effect on your ability to read and use this website. You may withdraw consent at any time, and withdrawing is as easy as giving it.
The categories we use
Necessary cookies are required to deliver the site securely: traffic routing, bot and fraud protection, form integrity and storing your cookie choices. They cannot be switched off and require no consent.
Preferences cookies remember choices such as your language, or that you have already submitted a form, and enable embedded content such as videos.
Statistics cookies show us how the site is used — which pages are visited, how visitors arrive and where they run into problems — so we can improve it. This category includes session recording, described further below.
Marketing cookies measure our campaigns, build audiences, show you relevant advertising on third-party platforms and limit repeat impressions. They may build a profile of your interests and follow your browsing across other sites.
This category also covers B2B visitor identification: tools that look up the organisation associated with a visitor's IP address, so our sales team can see which companies show interest in our services. Because this links to an individual visit, we treat it as marketing and it requires your consent.
The cookies on this site
The declaration below is generated by our consent platform and reflects the most recent scan of the website. It is the authoritative source for cookie names, providers, purposes and durations, and it shows your current consent state.
Session recording and behavioural analytics
Two of our statistics tools go beyond counting page views and record how visitors interact with pages: Microsoft Clarity and Hotjar. Both load only after you consent to the Statistics category.
What is recorded: mouse movement, clicks, scrolling, page transitions, browser and device characteristics, and a reconstruction of what the page looked like during your visit. We see this as a playback and as aggregated heatmaps.
We use the masking settings these tools provide for text entered into form fields, and we review those settings periodically. Recordings are used to find usability problems, never to evaluate individuals.
Retention: Microsoft Clarity keeps playback data for 30 days, and click data, heatmaps and any recording we mark as a favourite for 13 months. Hotjar retains data for up to 365 days. Clarity is provided to customers in the EU/EEA by Microsoft Ireland Operations Limited, with onward transfers to Microsoft in the United States covered by Standard Contractual Clauses.
You can opt out of session recording by refusing the Statistics category, or later through the Cookie Declaration above.
Third parties and their role
Each provider's own privacy policy is linked from the cookie declaration above.
For LinkedIn and Meta we act as joint controller for the collection and transmission of data through their tags. The essence of those arrangements is published by the providers. You may exercise your rights against either party, though requests about what a provider does with the data after transmission are best directed to them.
Transfers outside the EEA
Several providers are established in, or transfer data to, the United States. Where that happens we rely on the EU–U.S. Data Privacy Framework, where the recipient is certified, and on the European Commission's Standard Contractual Clauses (Decision (EU) 2021/914), supported by a transfer impact assessment and measures such as encryption in transit and pseudonymisation.
Transfers to third countries carry risk: public authorities there may hold access powers that differ from those in the EEA, and enforcing your rights may be harder. If you would rather your data were not transferred, do not consent to the relevant categories. A copy of the safeguards is available on request.
How long data is kept
Individual cookie lifetimes appear in the declaration above. In addition:
- your consent record is stored for up to 12 months, after which we ask again. We also ask again if we add a new purpose or a materially new provider;
- Google Analytics 4 data is retained for no longer than 14 months from your last activity;
- Microsoft Clarity: 30 days for playback, 13 months for click data and heatmaps;
- Hotjar: up to 365 days;
- data collected through HubSpot follows the retention periods set out in our Privacy Policy.
Managing your consent
On your first visit a banner appears. Until you choose, only necessary cookies are set. You can accept all categories, reject all non-essential categories in a single click with equal prominence, or open the detailed view and decide category by category.
To change or withdraw your consent later, use the Change your consent and Withdraw your consent links in the declaration above. Withdrawal takes effect immediately for future processing and does not affect processing already carried out lawfully.
Withdrawing stops further collection. Cookies already on your device expire or can be deleted as described below. To ask a third-party provider to delete data it has already collected, contact the provider directly, or write to us and we will pass the request on.
We do not use cookie walls, and we do not make refusing harder than accepting.
Controlling cookies in your browser
You can block or delete cookies independently of our banner. Blocking all cookies may break parts of the site, and deleting cookies also deletes the record of your choices, so you will be asked again.

These opt-outs are themselves stored as cookies and disappear when you clear your browser.
Your rights
Where cookies process your personal data you have the right to withdraw consent (Art. 7(3)), to access your data (Art. 15), to rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). We do not use cookies to make automated decisions with legal or similarly significant effects.
Write to hello@simplifai.ai to exercise these rights. We reply within one month and will tell you if we need longer. Because cookie identifiers are pseudonymous, we may need additional information from you to locate your data — your consent ID from the declaration above is the most useful. If we cannot identify you, we may be unable to act on the request (Art. 11 GDPR).
Complaints. You may lodge a complaint with a supervisory authority. In Norway this is Datatilsynet, Postboks 458 Sentrum, 0105 Oslo (datatilsynet.no). Technical questions about the cookie rules fall to Nkom (nkom.no). If you are in another EEA country you may also complain to your local authority.
Changes to this policy
We review this policy at least annually and whenever the tools we use change. The date at the top shows the last revision. If a change requires new consent, we will ask again through the banner. Previous versions are available on request.
